Here are a few spreadsheets and models I’ve found or developed along the way. Feel free to try them out, and let me know if you have any questions or ideas for making them even better.
Branch Matrix (Microsoft Excel spreadsheet)
I developed this branch service
indicator matrix when I worked at the Multnomah County Library because I
wanted to see many statistics and service dimensions on one page. This could
easily be modified for a smaller system. For larger systems, break branch
groupings down by size or location. You can decide which statistics are meaningful
in your library system. Note: the term "1st circ" refers
to the first time an item circulates; in other words it doesn’t include
renewals, as "circulation" does.
Circulation and holdings
reports (Microsoft Excel spreadsheet)
This
is another report I developed for Multnomah County Library. At the end of
each year I asked for the statistics for holdings and circulation by facility.
From this I could compute turnover rate, which I think is an important measure
of collection relevancy. Shani Fox, Administrative Analyst, has perfected
this report over the years, including the horizontal bar graphs
that show at a glance how the collection is doing.
Competency models (Microsoft
Word document)
Managers and staff of
the Multnomah County Library have done a significant amount of work developing
statements of the competencies (knowledge, skills, and attitudes) required
to do well on the job. This document spells out the competencies expected
of every employee—from the director to a page. I like the layout and
how good examples are given of the behaviors that exemplify the identified
competency. It can serve as a model for additional competency descriptions.
Competencies Needed by Public
Library Staff (Adobe pdf document)
Much of the literature on
competency analysis and description is way too
turgid. This report, published by the Bertelsmann Foundation, is a very fine
overview of the concept and a good description of what some public libraries
have come up with. It makes a good starting point for discussion.
